AI Knowledge & Data Lead
About the Role
We are seeking an AI Knowledge & Data Lead to build and manage our internal knowledge ecosystem and enable AI-driven workflows across the company. This role will curate, structure, and maintain the organization’s critical knowledge (policies, SOPs, playbooks, marketing materials, training assets) and transform it into an AI-ready database that powers staff efficiency, decision-making, and creative output.
This is a mid-level role that blends knowledge management, data structuring, and applied AI. The AI Knowledge & Data Lead will work closely with the Head of Technology & Systems, while partnering across HR, Operations, Marketing, and Retail teams.
Key Responsibilities
Knowledge Base & Data Structuring
- Build a centralized knowledge repository covering SOPs, HR policies, training manuals, operational guidelines, and marketing materials.
- Define and maintain taxonomy, tagging, and metadata standards to ensure information is organized, searchable, and AI-ready.
- Continuously update and refine the knowledge base to reflect business changes.
AI Enablement & Tools
- Integrate the knowledge base into AI copilots/chatbots for internal use (staff self-service for HR/ops, marketing content generation, sales enablement).
- Pilot AI-driven applications such as:
- Internal HR/ops Q&A assistant.
- Marketing draft generator trained on brand tone & assets.
- AI-assisted training and onboarding modules.
- Evaluate and manage AI tools/vendors for company-wide adoption.
Cross-Functional Collaboration
- Partner with HR to digitize policies and training content.
- Partner with Marketing to structure brand libraries, content assets, and campaign archives for AI re-use.
- Partner with Ops/Retail to capture frontline SOPs and best practices.
- Work with Data & Analytics Manager to align structured knowledge with reporting/data pipelines.
Governance & Training
- Ensure compliance, version control, and accuracy of knowledge assets.
- Train staff on effective use of AI tools and knowledge systems.
- Establish workflows for content approval and updates.
Key Outcomes (12 months)
- Live central knowledge hub with 80%+ of business-critical SOPs, policies, and materials digitized and searchable.
- AI-enabled internal assistant for HR/ops Q&A and marketing support.
- Reduced duplication and manual effort across departments through structured knowledge reuse.
- Staff adoption of AI tools with clear governance and measurable productivity impact.
Candidate Requirement
Experience:
- 4–7 years in knowledge management, business analysis, digital transformation, or AI/automation roles.
- Proven track record in building internal knowledge bases, document management systems, or similar.
- Familiarity with AI/LLM tools (ChatGPT, Claude, custom copilots, embeddings, RAG).
- Experience collaborating across HR, Ops, and Marketing is a plus.
Skills & Competencies:
- Strong documentation, structuring, and information management skills.
- Ability to translate unstructured content into organized, AI-usable datasets.
- Practical understanding of AI tool integration (e.g., Notion AI, custom chatbots, workflow automation).
- Project management and stakeholder engagement skills.
