Systems & Integration Lead
About the Role
We are seeking a Systems & Integration Lead to own and manage the integrations, workflows, and reliability of our business technology stack. This is a mid-senior role focused on hands-on execution — ensuring that all internal and external systems (POS, CRM, WMS, HR, Finance, Marketing, Collaboration tools) work seamlessly together.
The role is critical to reducing inefficiency, preventing data silos, and enabling smooth operations across the group. The Systems & Integration Lead will work under the Head of Technology & Systems, partnering closely with Operations, Finance, HR, and Marketing.
Key Responsibilities
System Ownership & Administration
- Act as the primary owner for all SaaS and enterprise systems (Notion, Slack, Google Workspace, HR/payroll, accounting, marketing automation, etc.).
- Manage user access, permissions, security, and compliance across all platforms.
- Maintain vendor relationships and renewals for SaaS subscriptions.
Integration & Workflow Design
- Design and implement API/middleware integrations between systems (e.g., POS ↔ CRM ↔ WMS ↔ HR/payroll ↔ Finance).
- Use automation tools (Zapier, Make, custom middleware) to streamline workflows and reduce manual effort.
- Monitor and troubleshoot integration failures, ensuring reliability.
Process Improvement & Support
- Partner with departments (Ops, Finance, HR, Marketing) to map workflows and identify gaps.
- Recommend and implement solutions that improve efficiency and reduce duplicated work.
- Provide Tier-2 support for system-related issues escalated by teams.
Governance & Documentation
- Maintain clear documentation of system architecture, integration flows, and SOPs.
- Ensure systems comply with security, privacy, and data governance standards.
- Provide training and onboarding to staff for new tools or workflows.
Key Outcomes (6–12 months)
- Clear system ownership map for all platforms, with reliable administration and security.
- Fully documented integration flows between core systems (POS, CRM, WMS, HR, Finance, Marketing).
- 30–40% reduction in manual effort or duplicated tasks across departments through automation.
- High system uptime and reliability, with quick response to integration failures.
Candidate Profile
Experience:
- 5–8 years in IT systems administration, integration, or digital operations roles.
- Proven experience managing SaaS platforms, enterprise systems, and user administration.
- Strong background in API integration, workflow automation, or middleware solutions.
- Retail/e-commerce experience is a plus.
Skills & Competencies:
- Hands-on technical ability with APIs, automation tools (Zapier, Make, etc.), and system configuration.
- Solid understanding of enterprise IT governance (permissions, security, compliance).
- Strong problem-solving and troubleshooting skills.
- Ability to work cross-functionally with non-technical teams.
Character:
- Detail-oriented and reliable.
- Proactive in spotting gaps and solving problems.
- Strong communicator, translating technical issues into simple terms for business teams.
